July 2020 Annual Meeting Minutes: postponed from May to July due to COVID_19

Note: we did not take attendance at this meeting due to COVID-19. We did not want to use the same pen/paper or get too close to each other. Over 10 households attended in person and 4 households attended via Zoom. 

Alice Dickherber, Becca Medler, and Carlos Hirsch appeared as the Board of Trustees. 

Order was called, and the procedures for the meeting outlined. No new neighbors were in attendance.

Carlos Hirsch gave our financial report (see report for details). We had a discussion of the street repairs and the seal coating that still needs to be completed. Brett Gaither suggested we complete seal coating as soon as possible. The Board will work with McConnell and Associates to follow up on the bid.

We also discussed our contract with Allen Outdoor Solutions. Neighbors reported having to mow and groom the neighborhood islands by themselves. The Board will seek a new vendor for next year and follow up to determine whether Allen has provided value for amounts invoiced.

We discussed safety in the neighborhood. Becca Medler introduced a lighting initiative, whereby the Board will seek value pricing for additional lighting in our neighborhood. This was positively received and the Board will continue to move forward with this initiative. We also reviewed safety tips from Chief Rohr and reminded residents to report crime to the Board. 


We discussed the board’s role in exterior home improvement projects, and noted that the Board has approved 3 projects this year.

We discussed the results of the neighborhood survey in a preliminary way. Once the Survey closes, we will analyze results and provide them to the neighbors. Survey results can be used to guide initiatives of the Board of Trustees.

We discussed the Board and the three year term. Alice Dickherber’s term as President is ending. We took nominations for new Trustees. Al Levine (Monmouth) and Micki Buffington (Stonebridge) were nominated. 

Due to COVID-19, we did a vote by hand, with one vote per household. Al received 8 votes and Micki received 7 votes. Al Levine will join the Board of Trustees. 

We took resident comments and closed the meeting.
